The Process
If you're an entrepreneur, consultant or business owner it's likely that time is your most precious commodity and every moment you spend on administrative tasks is time that you can't spend on the things you're really good at (or that long list of things you'd like to have time to do). At The Officient, we tailor our support services to suit each of our client's needs and we're thrilled when the services we provide help contribute to their success so this is how we work.

Strategy Session
We meet with all of our clients to understand your business needs and then explain some of the ways The Officient might help effectively manage your needs. Based on the conversation, we decide if would be a good fit on both sides.

Proposal and Contract
From the needs expressed in the consultation, we will draft a proposal that outlines the agreement for time spent, fees, terms of payment and confidentiality. Once the agreement is signed, the work can begin.

Relationship
We can work on a project-by-project basis or in a set number of regular hours per week or month, depending on the needs of your business. Our goal at The Officient is to develop a strong ongoing client relationship, whatever your administrative needs may be.
Once work begins, we utilise various forms of communication, primarily email, but also telephone, instant messaging, fax, virtual conference rooms and mail, really whatever works best for you!
In our opinion communication is a key component in developing a successful professional relationship.

Enjoy the Support!
We want to be the lynchpin to your business without you noticing that it exists. Give The Officient a call today so we can get started.

How do we start?
A contract of services agreement outlining terms and conditions will be provided to you prior to the commencement of any work. Once signed, this can be returned to us by email, fax or by post. If work is commenced prior to this, then it is assumed that the agreement is binding.

Are there any other costs?
All prices are quoted in Australian dollars excluding GST. Minimum charge is half an hour then billed in 30 minute increments.

Out of pocket expenses, i.e. travel, postage, couriers, outsourcing, phone calls or any other job related costs will be charged and detailed on your invoice.

For urgent, overnight or weekend work requests, these will attract a 30% surcharge depending on circumstances.

All effort is made by us to provide accurate work completed to your specifications. Final proofreading is your responsibility and any revisions required will be charged at the normal rate. However, should any errors occur these will be corrected at no cost.

How will I, as the client know the hours that have been worked via virtual means?
Each invoice is submitted with a timesheet and also a report that is generated showing the time allocations for each project.

How are invoices and payment organised?
Invoices are emailed at the end of each month and payment is strictly within 14 days from the date of the invoice. Payment is preferred by direct credit and an itemised report will be included with the invoice for all duties performed. If this is not possible please contact us to discus. Late payment will incur a late fee.

Will my documents and information be kept confidential?

Our promise to you is confidentiality!
We know the importance of protecting your privacy and will not give your details to anyone. We will maintain strict confidentiality of all material, processes, business practices, financial affairs and client information at all times.
